Supervisory and Leadership

Daily supervision and oversight of the Staffing Office

Evaluate and redistribute workload within the Staffing team to meet deadlines and smooth workload fluctuations

Monitor policy, procedure and collective agreement compliance by staffing clerks, as well as timelines related to service level targets

Assist with posting, interviewing, hiring, and leads training/ orientation to ensure appropriate staffing levels are maintained in the department

Coach and motivate staff to high levels of performance, promoting continuous improvement and ensure an excellence in service is maintained

Ensures all staff have the knowledge, skills and resources needed to perform their jobs effectively by identifying ongoing training and coaching that is aligned with the standardized work and QCH core values

Assist in performance assessments of staff and provide ongoing regular feedback with direction from the Manager, Volunteer Resources, Spiritual Care, Gift Shop & Staffing

Operations Management

Responsible for the overall daily functioning of the Staffing Office by ensuring all units are staffed according to established staffing quotas and specialty needs

Evaluate current staffing and scheduling processes and identifies deficiencies and opportunities for improvements to support best scheduling practices

Provide support in creating master rotations, coordinate vacation planners where required

Work closely with Manager of Humane Resources and LRCs re: scheduling changes/issues

Maintain a high level of communication among the Staffing team regarding scheduling concerns and issues

Ensure collective agreement language is followed and incorporated into all scheduling guidelines, policies and procedures.

Liaise closely with key stakeholders to ensure the continuous efficient and effective delivery of services

Client Services

Address complaints and informs Manager, Volunteer Resources, Spiritual Care, Gift Shop & Staffing of key issues and resolution

Assist and support the Manager, Volunteer Resources, Spiritual Care, Gift Shop & Staffing in developing clear priorities and action plans for the Scheduling team

Ensure a client centered approach in the development of policies and procedures

Ensure optimal scheduling processes are in place to meet the demands of the clinical programs

Ensure appropriate structures and systems are in place to facilitate administrative and scheduling functions

Establish, track and monitor relevant outcome measures/indicators for resource utilization

University degree or Community College diploma with a focus on Human Resources

Minimum three (3) years of previous Human Resources experience preferably in healthcare staff scheduling

Minimum (2) years previous leadership experience (preferably in Staffing)

Expert knowledge of scheduling systems and scheduling employees in a complex, unionized, 24/7 environment

In-depth knowledge of scheduling language in the applicable collective agreements

Ability to analyze problems, develop and assess solutions and provide recommendations where required

Proven ability to lead with focus, including strong prioritization, planning and follow-through abilities

Experience driving continuous improvement

Demonstrated ability to build strong relationships with others and foster collaboration

Proven problem solving and conflict resolution skills

Ability to exercise critical thinking and sound judgement

Excellent communication skills and ability to work in a team environment

Demonstrated ability and superior knowledge of computer applications

Familiar with the function, performance and complexity of clinical units in healthcare environment
