This position provides front-line client information services and clerical and administrative support for Leadership and Community Building Programs in Lifelong Learning. Provides information concerning programs, courses, and application/registration procedures to students, instructors, the general public, and external business and industry. Monitors course enrollment; maintains database records; types correspondence, reports, letters, memos, and letters of completion; and processes invoices for payment. Monitors the departmental operating budget by checking account codes, expenditure types, and program records against debits and credits using the University’s financial information system (i.e., FAST). Corresponds with instructors and coordinates room bookings, audio-visual equipment, and catering. Assists with the development of promotional materials and arranges distribution, including sourcing content and drafting messages sent to email distribution lists on a regular basis. Assists with the ongoing maintenance and updating of various standard information systems used by Continuing Studies and SFU (i.e.,CQ5, GoToMeeting, Canvas, SERA, Campaigner, Eventbrite, etc.) to help ensure smooth departmental workflow.
High school graduation and one year of post-secondary education, or formal program equivalent, including courses or formal training in word processing, database, and spreadsheet applications; office practices; and bookkeeping procedures.
3 years minimum experience.
An equivalent combination of formal education, certificate/program of study and experience is acceptable.
55 wpm keyboarding skill with high degree of accuracy.
Good knowledge of standard office practices, methods, and equipment.
Good knowledge of university regulations, policies, and procedures.
Good knowledge of bookkeeping methods and practices.
Good knowledge of open source learning management systems (i.e., SFU Canvas).
Good proof reading and editing skills.
Basic knowledge of customer relationship management (CRM) software (i.e., SugarCRM, Dynamics).
Good knowledge of the needs of a diverse student body, including the needs of students with disabilities and multi-faith communities.
Basic knowledge of the literary arts, the needs of emerging writers, and/or community building.
Excellent interpersonal and communication (oral and written) skills.
Excellent organizational and analytical reasoning skills.
