Job Summary

The Licensing Administration Clerk reports to the Supervisor, Administrative Services and will possess strong customer service, excellent interpersonal, written and verbal communication skills to effectively work with the general public, stakeholders, elected officials and staff at all levels. Provide front-line counter servicing, processing applications ensuring administrative provisions of licensing by-laws and schedules are met and handle inquiries and complaints. Detail oriented to ensure accuracy is essential while working with multiple programs and changing priorities in a high volume environment

Duties and Responsibilities

Reporting to the Supervisor, Administrative Services, the successful candidate will:

Process applications for licenses/permits/exemptions, monitor the completion of files through continuous follow up

Ensure administrative provisions of licensing by-laws and schedules are met;

Communicate directly with customers through all means of communication including; email, letters, phone and in person. Adhere to administrative processes with an eye to continuous improvement;

Effectively handle inquiries and complaints;

Process service requests using Infor ensuring data integrity in the system;

Collect and process payments for licenses and permits in accordance with corporate policies and standard operating procedures;

Create and maintain files along with supporting documentation ensuring confidentiality and in accordance with corporate record standards and retention policies.

Skills and Qualifications

Secondary school education with a minimum of three years experience as an Administrative Clerk or equivalent related experience and education;

Proficiency in Word, Excel, Outlook, SAP (R3) is required; experience with Amanda, MAX, Infor and OmniRim would be an asset;

Strong customer service, excellent interpersonal, written and verbal communication skills required, including the ability to work effectively with staff at all levels, the general public and elected officials;

Front-line counter servicing and processing of payments experience required;

Ability to plan and organize work in an environment with competing priorities that are time sensitive;

Accuracy and attention to detail is essential while working in a high volume environment;

General knowledge of by-laws would be an asset;

Team oriented with the ability to work on own initiative;

Ability to quickly decipher customer needs and exercise sound judgment when resolving issues.
